Position Description:

Full-time. The Assistant Director of Financial Aid and Billing has responsibility for assisting the Executive Director of Administrative Services and/or the Director of Financial Aid and Billing with the administration, management, and distribution of student financial aid and billing at all campus sites. This person provides counseling, administrative, and managerial support in the day-to-day operation of the financial aid and billing office and its programs.

Essential Functions:

  1. Oversight and review of federal student aid dataload and information processing, including institutional verification processes and procedures and New Year Roll.
  2. Assist with the oversight of other staff for routine verification and perform verification of selected student applications for federal financial aid.
  3. Assist supervisor with performing professional judgements for federal Title IV programs including income adjustments and requests for independent status.
  4. Responsible for monitoring regulatory and software changes in Return of Title IV withdrawal calculations and subsequent dissemination and training for financial aid staff. Monitor official and unofficial withdrawals, adjust student awards and notify affected students.
  5. Assist supervisor with determination of scholarship award recipients and resolving issues regarding scholarships.
  6. Assist supervisor with satisfactory academic progress review. Advise students on withdrawals and assist with waivers.
  7. Advise/counsel students upon withdrawal, or as requested, of SAP requirements and standings.
  8. Serve as lead coordinator and processor for all full-time and part-time New York State aid certifications, including TAP, part-time TAP, ADA TAP, Aid for Part-Time Study, and Part-Time Scholarship. Process student ID requests required per the NYS Dream Act. Review Satisfactory Academic Progress for students after each semester. Reconcile with the business office.
  9. Review coursework towards degree utilizing DegreeWorks (SICAS SOT process) for NYS aid, Pennsylvania state aid, and, upon request, veterans.
  10. May assist others in the financial aid office with packaging and disbursements.
  11. Work with the U.S. Department of Education, New York State Higher Education Services Corporation, Central Processing System, and outside agencies, and financial aid professionals at other colleges to resolve problem issues and ensure the effectiveness of associated programs.
  12. Under the supervisor’s direction, works with the U.S. Department of Education, New York State Higher Education Services Corporation, and financial aid administrators from other colleges and other outside organizations as necessary for the processing of student’s financial aid.
  13. Assists with duties related to student financial obligations for tuition and fees and federal loans.
  14. Other duties, as assigned.

Qualifications:

Required:

  • Bachelor’s degree in relevant field with a minimum of three (3) years of relevant experience utilizing skills and knowledge at a similar level.
  • Comprehensive knowledge of federal, state, and institutional financial aid programs. Ability to prioritize and work effectively in a fast-paced work environment.
  • Strong compliance and business process skills necessary.
  • Excellent verbal and written communication skills. Strong organizational and supervisory skills are essential.
  • Must be proficient with all Microsoft Office applications, and have the ability to learn and utilize other software to optimize program efficiency. Must be able to function with minimal supervision.
  • Travel between campuses may be required. Expected to travel between campuses on a regular basis (approximately every two weeks) to supervise/interact with Financial Aid and billing personnel and to engage in outreach with local high schools.

Preferred:

  • Familiarity with Ellucian BANNER, federal EdConnect and EdExpress software systems, and other federal and state financial aid information systems.

Additional Information:

Salary: $62,259-$75,000. Excellent benefits package, including medical and dental insurance, paid vacation and sick leave, and NYS retirement. Opportunity for flexible work arrangement may be available.
