Position Description:

Temporary, part-time position, 20 hours/week, through summer 2025. The Assistant to the Vice President for Academic Affairs is directly responsible to the Academic VP of the college. The assistant provides support and coordination for various aspects of the operations of the Academic Affairs area and works closely with the Academic Deans, the Executive Assistant, and the Academic Affairs Specialists.

Essential Functions:

  • Assists the Vice President of Academic Affairs.
      • Provides oversight for the Faculty Development Fund process.
      • Assists with implementation of Assessment Days, Faculty Development Day, visiting scholars, and other special events.
      • Provides direct support to faculty standing committees and Academic Council.
      • Develops and implements surveys and other data gathering efforts on behalf of faculty committees.
      • Assists in the management of the Program Review process -- maintains the schedule, coordinates materials and meetings, maintains finalized documentation in document repository, assists directors and deans as requested.
      • Processes requisition forms, purchase orders, and invoices to business office.
      • Prepares minutes from a variety of meetings and performs a wide variety of other administrative, business management, and clerical operations related to office activities.
      • Maintains contact with faculty members and administration in matters pertaining to the VP of Academic Affairs’ office.
      • As needed and in concert with the Executive Assistant, supports routine functions for the efficient operation of the Office of Academic Affairs:
        • Schedules needed appointments
        • Arranges conferences
        • Reviews and routes correspondence (preparing responses when appropriate)
        • Receives calls or callers, and refers them to the proper offices
        • Answers requests for administrative information, and prepares office reports
      • Provides ongoing support as requested for a number of activities under the Executive Assistant’s purview, including:
        • Schedule production
        • Catalog production and edits
        • Curriculum change processes and implementation
        • Requests for information/details
  • Support for honors program, PTK, prison education, etc., as requested
  • Performs other such duties as may be assigned by the VP of Academic Affairs, Executive Assistant, or Faculty Governance Lead.
  • Regular attendance.

Qualifications:

Required: Bachelor’s degree plus four (4) years of directly related experience; OR Associate’s degree plus six (6) years of directly related experience. Excellent administrative skills required, including ability to manage multiple tasks and priorities and handle administrative details and follow-up including research, correspondence, public relations, and event planning. High degree of maturity, ability to exercise professional judgment, and ability to work independently required. Strong interpersonal, communication, and analytical skills required. Must be skilled in electronic communication and Microsoft Office Suite, including word processing, list processing, spreadsheets, PowerPoint, Publisher, and other computer processes such as database management. Must have ability to learn and utilize proprietary software programs such as Banner.

Additional Information:

Salary: $27.00 - $30.00/hour, based upon experience. Excellent benefits package, including medical and dental insurance, paid vacation and sick leave, and NYS retirement.
